Merchant Terms
These Merchant Terms apply to participating businesses, merchants, operators, and commercial partners who use Kashless, its payment flows, store card features, kiosks, business dashboards, machine setup tools, connected operational devices, reporting tools, and related business services.

1. Merchant Enrollment
- Merchants must provide accurate registration, ownership, contact, tax, settlement, and business information.
- Kashless may request additional documentation, verification, or operational review for fraud prevention, compliance, onboarding, or service integrity purposes.
- Kashless may reject, delay, restrict, or suspend merchant activation based on incomplete information, legal risk, fraud signals, or operational concerns.
2. Scope of Services
Kashless may provide merchants with access to:
- Store-specific prepaid balance functionality.
- General balance acceptance, where enabled.
- Business dashboard and transaction reporting tools.
- Promotional, loyalty, and store card features.
- Kiosk-assisted or device-assisted physical top-up workflows.
- Machine setup, machine visibility, public operational monitor tools, and related business configuration services.
3. Machine Setup, Codes, and Business Configuration
- Merchants are responsible for the accuracy of machine naming, machine code assignment, display labels, machine ordering, type classification, and visibility settings configured through Kashless tools.
- Where Kashless uses machine codes, public machine names, or machine-linked operational records, the merchant is responsible for configuring those values correctly.
- Merchants are responsible for ensuring that machine-to-equipment mapping is accurate when connected hardware, relays, controllers, kiosks, or monitoring devices are used.
4. Public Operational Displays and Business Monitor Tools
Kashless may provide public or semi-public operational display features, including business monitor screens showing machine availability, service status, machine names, machine codes, or related business operational information.
- The merchant is responsible for deciding whether to enable those displays and for the accuracy of business-side configuration shown on them.
- The merchant is responsible for the suitability of public naming, display order, and visibility settings used in the monitor.
- These displays are intended for operational visibility and are not intended to expose personal customer information.
5. Kiosk Operations and Physical Top-Ups
- If physical kiosk or assisted top-up flows are used, the merchant is responsible for the safe operation, physical supervision, and site environment of the kiosk unless expressly agreed otherwise in writing.
- The merchant is responsible for local cash handling, site procedures, reconciliation participation, and timely reporting of discrepancies.
- Kashless is not automatically responsible for local theft, vandalism, physical damage, site misuse, electrical issues, or merchant-side custody of hardware unless otherwise agreed in writing.
6. Connected Devices, Relays, BLE, and Operational Reporting
- Merchants may use connected devices, BLE-enabled tools, relays, controllers, kiosks, or reporting devices together with Kashless where supported.
- Kashless may receive operational events, machine status updates, machine codes, timestamps, connectivity events, queue events, and related machine telemetry from supported devices.
- Merchants remain responsible for their own site-level hardware installation, power environment, machine-side compatibility, and physical maintenance of merchant-operated equipment unless otherwise agreed in writing.
7. Pricing, Fees, and Settlement
- Merchant pricing, fees, service levels, platform percentages, maintenance charges, setup charges, or other commercial terms may be defined in merchant-specific commercial agreements or pricing schedules.
- Kashless may deduct applicable fees, reversals, chargebacks, refunds, processor adjustments, or operational corrections where authorized by contract, processor rules, or platform policy.
- The exact merchant-of-record, payment facilitator, or settlement model may depend on the final commercial and legal structure adopted by Kashless.
8. Refunds, Adjustments, and Disputes
- Merchants are responsible for their own customer-facing service quality and day-to-day refund handling unless the platform expressly manages a particular refund flow.
- Disputes, chargebacks, digital payment investigations, and operational correction events may require merchant cooperation, logs, timestamps, machine records, or other supporting evidence.
- Physical top-up activity is generally treated as final except in cases of verified technical error, reconciliation issue, legal requirement, or explicit platform-supported exception.
9. Merchant Responsibilities
- Operate lawfully and comply with applicable tax, business, consumer, payment, and regulatory requirements.
- Clearly disclose business-side pricing and customer-facing policies where required by law.
- Protect merchant credentials, dashboard access, business devices, staff access, and local operational controls.
- Use Kashless only for lawful products, services, and merchant activity.
10. Data, Privacy, and Confidentiality
- Merchant access to user, business, transaction, machine, or operational data is limited to legitimate operational use.
- Each party is expected to comply with applicable privacy obligations and secure handling expectations.
- Non-public platform information, internal business procedures, operational logic, device mappings, pricing structures, and confidential business methods should be treated as confidential unless otherwise agreed.
11. Suspension and Termination
Kashless may suspend or terminate merchant access due to fraud risk, abuse, noncompliance, nonpayment, material breach, operational misuse, legal exposure, harmful conduct, or actions that threaten users, merchants, the platform, or connected operational infrastructure.
12. Service Availability and Operational Limits
Merchant services may depend on processor availability, business-side hardware, BLE communication, kiosk status, machine-side compatibility, internet connectivity, merchant configuration, and synchronization timing. Kashless does not guarantee uninterrupted uptime or continuous device availability in every operational environment.
13. Disclaimer and Limitation of Liability
Kashless provides merchant services on an “as available” basis to the fullest extent permitted by law. Kashless does not guarantee uninterrupted processor access, kiosk connectivity, BLE continuity, cloud synchronization, or third-party service availability. To the maximum extent permitted by applicable law, Kashless is not liable for indirect, incidental, special, or consequential damages arising from merchant use of the platform.
14. Governing Law and Contact
Final governing law, commercial annexes, settlement structure, and merchant obligations are intended to be interpreted under the final legal framework adopted by the legal entity responsible for Kashless.
